PART-TIME LEASING SPECIALIST - AFFORDABLE HOUSING JOB DESCRIPTION Reports To:  PROPERTY MANAGER The purpose of this job description is to communicate the responsibilities and duties associated with the position of PART-TIME LEASING SPECIALIST- AFFORDABLE HOUSING. JOB SUMMARY:          The PART-TIME LEASING SPECIALIST’S - AFFORDABLE HOUSING are the property's sales team whose primary duties are to properly secure lease agreements from all qualified persons and aggressively market the property in order to achieve leasing and occupancy goals. A PART-TIME LEASING SPECIALIST- AFFORDABLE HOUSING is also very service-oriented and strives to make prospects and current residents feel welcome and comfortable in their community. WAGE/HOUR STATUS Non-Exempt (eligible for overtime) DUTIES AND RESPONSIBILITIES Conducts all business in accordance with company policies and procedures, Fair Housing laws, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to multifamily housing. Marketing/Leasing Greets prospective residents, completes guest card information, establishes program eligibility, determines needs and preferences, conducts sales tours of the community and specific apartments while communicating features and benefits and secures applications from qualified persons. Maintains awareness of local market conditions, competitors and trends through active market surveys and physically shopping the properties competition. Assists in creating and implementing a plan for marketing the property and improving resident satisfaction. Aggressively markets the property on a regular basis to generate traffic. Meets individual and/or property monthly leasing goals. Inspects models, move-ins and "market ready" vacancies daily to ensure move-in ready condition. Also physically inspects property when on grounds, picks up litter and reports any service needs to maintenance staff. Maintains a professional and friendly atmosphere in the leasing office and other areas where prospects and residents meet. Utilizes multiple media platforms, including but not limited to telephone, text, email and social media, etc. to perform follow-up with prospects in accordance with company guidelines. Prepares and qualifies applications for approval based on properties rental criteria and program requirements.     LEASING SPECIALIST- AFFORDABLE HOUSING  (continued) -  Page 2 Renewal/Recertification Process Responsible with assisting the contact of residents to schedule renewal/recertification appointments. Work with resident to complete all renewal/recertification documentation in a timely and accurate fashion. Works with the resident and third parties to verify sources of income for the resident (if applicable). Completes all required documentation for each renewal/recertification. Forwards all completed renewal/recertification documentation to the appropriate person in a timely fashion for review and approval. Reviews prior year files while preparing recertification in order to verify reasonability and compliance.   Administrative Notifies prospective residents of application results. Establish move in date and time for approved applications. Completes all lease paperwork including related addenda and accepts rents and deposits. Organizes and files appropriate reports, leases and paperwork. Attends company meetings when requested. Prepares maintenance service requests. Assists in preparing newsletter and renewal lease letters. Photocopies daily paperwork and files documents. Prepares and completes move-in files. Assists Property Manager and Assistant Property Manager in preparation of daily and weekly reports, resident communications, move-out inventory, market surveys, etc. Answers incoming phone calls and handles each call accordingly. Transfers calls to Assistant Property Manager or Property Manager when appropriate. Performs any additional duties assigned by the Assistant Property Manager, Property Manager or Regional Director. QUALIFICATIONS: SALES ORIENTATION   Is skilled at building rapport with prospects and establishing good relationships with people quickly. Displays excellent communication skill and actively listens to prospects. Engenders trust from prospects by maintaining a warm, open and outgoing demeanor. Shows a genuine interest in others and communicates in a sincere manner with prospects and residents. Presents themselves in a professional manner and maintains a positive attitude while at work. Interacts with the prospect in a sensitive and approachable manner, especially when asking about sensitive or personal information. Has an empathetic and caring attitude and wants to help prospects through the approval process. QUALITY FOCUS   Can be flexible and multitask effectively, switching between tasks without losing focus or sacrificing the quality of their work. Shows excellent organizational skill and attention to detail; can keep track of all documents and information provided by a prospect. Approaches their work with an analytical mindset and can easily spot errors, miscalculations, or missing information in their paperwork. Is skilled at using and interpreting spreadsheets and calculations done using spreadsheets. Knows what information they need to collect from the prospect and can determine if there are gaps or missing pieces in what was collected.   PART-TIME LEASING SPECIALIST- AFFORDABLE HOUSING  (continued) -  Page 3 Must be able to apply principals of logical thinking to a variety of practical situations and accurately follow standardized procedures that may occasionally call for minor deviations. Needs to think rationally beyond a specific set of instructions. Education/training High school diploma or equivalent required. National Apartment Leasing Professional (NALP) desired.     Computer Skills:             Word Processing software experience required. Spreadsheet software, property management software, Internet experience desirable. Office Equipment:           Personal computer, Calculator, Copy Machine, Fax Machine, Telephone.   Work Hours:                   20-40 hours per week depending on whether a full or part-time employee.  Employee will be required to work a flexible work week including weekends.   PHYSICAL REQUIREMENTS   Stand and walk or sit alternatively depending on specific needs of the day.  Estimate 70% of time is spent standing/moving and 30% sitting/sedentary. DRIVING/TRAVELING REQUIREMENTS Occasional need (1% to 33% of the time) to utilize personal transportation to inspect apartment property and surrounding neighborhood, make trips to the bank and also visit the corporate office. Must have valid driver's license and automobile insurance. WORKING ENVIRONMENT Indoors (66% to 100% of the time); frequently outdoors, all conditions (33% to 66% of the time). Occasional exposure (1% to 33% of time) to paint fumes, solvents, adhesives, etc. SAFETY RESPONSIBILITIES Learns and complies with all company safety rules. Uses appropriate safety equipment at all times. Immediately reports all unsafe conditions to supervisors. Must be familiar with all safety features or equipment, machinery, or materials encompassed by job duties.
